REGULATIONS GOVERNING

THE USE OF LIBRARY MEETING ROOMS

  1. A fee of $25 per "booking date" will be charged for all private, individual or "for profit" activities, except organizations that qualify for a fee waiver. Waivers apply to those funded primarily through donations, fund-raising or membership dues. A "booking date" is any period up to four hours.
  2. Meeting rooms may be used only during hours the library is open to the public. Meetings must conclude 15 minutes before closing-time. Library facilities will not be available to organizations on days that the library is closed or evenings that it closes at 5:00 p.m. Requests for exceptions to these rules must be made and approved with the Library Director or Board of library Trustees.
  3. Any organization requesting additional time beyond regularly staffed hours will be required to pay an additional $15.00/ hour custodial fee.
  4. Rooms will be assigned in order of reservation. The library reserves the right to limit the total number or people attending meetings at one time, even though other rooms may be available.
  5. Medway Public Library reserves the right to cancel a group's reservation in order to use the room for a library purpose. 24 hours notice will be given.
  6. Rooms must be left in a neat and orderly condition. NO FOOD IS ALLOWED without the Library Director's permission. NO SMOKING IS ALLOWED ANYWHERE IN THE BUILDING. Groups that do not adhere to these rules will not be allowed to reserve the room in the future.
  7. If a meeting is canceled the library should be notified promptly.
  8. The Medway Public Library is not responsible for equipment, supplies, or other items owned by a group and used by them while in the library. No storage facilities are provided. No materials can be used that do not comply with local fire regulations.
  9. No posters, decorations or other items may be displayed on walls, furniture or glass without prior approval by the Library Director.
  10. The Story Room is only available upon special request approved by the Library Director.
  11. Library audio-visual equipment is not available for use without a separate equipment booking.
  12. No admissions may be charged, tickets sold or money making activity held, except for library related events, or as approved by the Board of Trustees Exceptions may be granted, but only by the Board of Trustees. The Board of Trustees also reserves the right to deny use of a room.
